Portals and automation: the gamechanger for ORANJEGROEP

Fred Baird, Recruitment & Marketing Manager at ORANJEGROEP, shares how they’ve significantly optimized their recruitment process using Minggo’s automation and portals. And the results? Meet ORANJEGROEP

ORANJEGROEP is an international staffing agency specializing in construction and engineering, with 2,500 professionals on the job and offices in the Netherlands, Portugal, Poland, Croatia, and Romania. Whether it’s building highways or constructing terminals, ORANJEGROEP has the right people for the job.

The challenge

The challenge? Large-scale projects demand speed and precision. Fred Baird explains:
“We often need to find a lot of skilled workers in a short time. To do that, we collaborate with recruitment agencies in countries where we don’t have offices. Smooth and structured communication is key—it can’t get stuck in endless back-and-forths. Plus, we want to speak the candidate’s language: the process should be simple and mobile-friendly.”

The solution

To optimize recruitment, ORANJEGROEP said goodbye to messy Excel sheets and manual processes. They implemented the ATS system Carerix and integrated Minggo to take automation to the next level.
“What used to be time-consuming and chaotic is now a well-oiled machine,” says Fred Baird. “With Minggo, we quickly launched smart portals and automations. After a short training, we could set everything up and customize it ourselves using drag & drop. Super convenient!”

The intake form

One of the first improvements was the automated intake form. “This form helps us quickly collect the right information during technical screenings,” Fred Baird explains. “It ensures recruiters and specialists ask the right questions, and all data is instantly stored in the ATS—no more scattered Excel files.”

The supplier portal

ORANJEGROEP collaborates with local recruitment agencies across Europe. With the new Supplier Portal, agencies can easily view job openings, submit candidates per vacancy, and upload documents. “All information is centralized in one place, making collaboration much more efficient,” says Fred Baird.

The CV generator

With the CV generator, recruiters can now quickly create resumes in ORANJEGROEP’s branding.
“Using a template, we can generate a professional CV in just a few clicks and send it directly to the client. It saves us a huge amount of time.”

Availability tracking

Tracking candidate availability is now effortless with an automated form. “Candidates who are currently not working receive a monthly email asking them to update their availability. The selected date is automatically stored in the ATS, allowing us to offer them relevant job opportunities immediately,” says Fred Baird.

The clothing size form

Fred Baird: “We solve many small inefficiencies with Minggo because it’s so easy to build solutions. For example, our office in Portugal needed a way to collect new hires’ clothing and shoe sizes. So, we created a form that automatically gets sent to new candidates, allowing them to submit their sizes easily.”

The benefits

One of the biggest advantages of Minggo? Flexibility. Fred Baird: “The real gamechanger for us is that we can make changes and create solutions ourselves. Recently, I noticed that important fields were positioned too far down on a form. Within minutes, I adjusted it without needing external support. In the past, we’d have to submit a support ticket—now we just do it ourselves.”

Seamless candidate experience

Fred Baird: “Our candidates typically don’t use computers—they rely on their mobile phones. So everything needs to be as straightforward and user-friendly as possible. With Minggo, we’ve created a system where candidates simply enter their name, phone number, and email, and then we guide them step by step through the necessary information. The system handles the rest.”

Better matches through an improved database

Another key benefit: ORANJEGROEP now collects much more candidate data, improving database maintenance and job matching efficiency. “This ensures our database is always up to date, preventing us from wasting time searching for candidates who are already in our system,” says Fred Baird.

Less manual work

Last but not least: recruiters now have more structure and time. “With so many tasks automated, we can act much faster,” says Fred Baird.
