Synergie Belgium had a clear goal: to reduce administrative work so that the intake process of new candidates could be faster and smoother. With Minggo, the employment agency now saves a lot of time in automatically retrieving important information and documents that candidates enter themselves.
Synergie Belgium is an employment agency with over 70 offices and in-house teams at companies in Belgium. Every day it employs over 5,500 employees from all these branches.
As a successful employment agency, Synergie receives many applications from candidates looking for work. The problem Synergie was facing, was that recruiters were unable to process all these applications in a short period of time. Recruiters had to manually request all the information and documents from the candidate and then enter them into their ATS Carerix.
“By keeping the application form on the website as short as possible, we receive a lot of applications,” opens Didier De Winne, Business Process Manager at Synergie Belgium. “The disadvantage of this is that our recruiters have to request all the additional information afterward – such as driver’s license or experience – in order to proceed with the applicant. In addition, recruiters often have to wait several days for a response from the candidate, which simply means that the deadline for some jobs has already passed.”
Synergy was looking for a way to more quickly and automatically request information from the candidate, without making the application form unnecessarily long. To solve this, Synergie created an app with Minggo where candidates can submit their data and documents themselves.
From whitin their ATS Carerix, Synergie now automatically sends a Minggo link requesting the candidate to supply information and documents. This provides an overview of the information that is already present and the information that is still missing. After the candidate has added data and documents, consultants are still given the opportunity to check the information for validity.
Didier De Winne continues, “The beauty of the app is that the candidate only has to open the camera on his phone and scan the documents. This data is immediately linked to the right profile and the recruiter receives a notification. This saves our recruiters quite a bit of time. Only after final approval from a consultant does Carerix save the data.”
“We now also have more time for the candidate during an introductory interview,” says Didier De Winne. “We don’t have to ask for a driver’s license or other documents. That information is requested automatically so the recruiter can focus on the candidate.”
Synergy also deployed Minggo to (re)activate inactive candidates. Didier De Winne indicates: “If you automate questions like ‘Are you still looking for a job, what sectors do you want to work in, are you still studying?’ then you get a better idea of what the candidate wants and you can match the candidate better.”
It is then up to the candidate, who decide whether to share this information. But the candidates who do can go straight into job applications. Moreover, this makes it possible to compare competencies. Didier De Winne: “Then you notice that a forklift driver also qualifies as an order picker and warehouse employee. We then immediately ask if the candidate is interested in that.”
This campaign was by far the most successful to date. Out of 11,000 emails they’ve sent, they received 1,700 student responses. And 900 of them were actually looking for a job. This resulted in a response rate of more than 8%.
In addition, Synergie also wants to optimize the customer process with a customer portal, where clients can quickly place applications. And where consultants can assess and propose candidates more quickly. A customer portal gives the client a better overview of ongoing procedures and provides all documentation in one place.
Didier De Winne: “Especially for clients with scheduling challenges, who need someone in a certain time slot on Mondays, you want to quickly provide some candidate suggestions. Where you indicate who has worked for the client before and who has already been screened.”
Didier De Winne continues: “The reason we finally chose Minggo is that we didn’t want to develop our own app. With Minggo, we can deliver an app relatively quickly with a limited number of employees with some IT knowledge.”
The impact of Minggo on Synergy? “With Minggo, we are able to free up resources,” testifies Didier De Winne. “Not through the traditional route, but rather with smart solutions that offer speed and ensure that our processes are much more efficient. The app has only just been running so it is too early to draw any conclusions. But what I see is that Minggo has already ensured that our process is less error-prone.”
